Job Responsibilities:
B. Job Objective
|
To coordinate office activities and perform
secretarial duties for the Managing Director in support of on-going
operations of the office, and any other such related activities where he may
seek assistance in coordination and organization.
|
C. Primary Responsibilities
|
►
Help produce
information by transcribing, formatting, inputting, editing, retrieving,
copying, and transmitting text, data, and graphics.
►
Conserve MD’s
time by reading, researching, and routing correspondence; drafting letters
and documents; collecting and analyzing information; initiating
telecommunications.
►
Maintain the
MD’s appointment schedule by planning and scheduling meetings, conferences,
teleconferences, and travel.
►
Handle visitors
and customers by greeting them, in person or on the telephone; answering or
directing inquiries. Responsible for arrangement of all meetings and booking
of calendars
►
Maintain customer
confidence and protect operations by keeping information confidential.
►
Prepare reports
by collecting and analyzing information in coordination with other
departments
►
Secure information
by completing data base backups.
►
Provide
historical reference by developing and utilizing filing and retrieval
systems; recording meeting discussions.
►
Maintain and
circulate Minutes of meetings and related notes to the MD and attendees
►
Help in
organization of all office events, off sites and team outings
►
Assist the MD in
travel scheduling, ticket bookings and any other travel related activity such
as procurement of visa etc.
►
Maintain office
supplies inventory by checking stock to determine inventory level;
anticipating needed supplies; evaluating new office products; placing and
expediting orders for supplies; verify receipt of supplies.
►
Maintain
professional and technical knowledge by attending educational workshops;
reviewing professional publications; establishing personal networks;
participating in professional societies.
►
Contribute to
team effort by accomplishing related results as needed
Any other
additional responsibility could be assigned to the role holder from time to
time as a standalone project or regular work. The same would be suitably
represented in the Primary responsibilities and agreed between the incumbent
and competent authority

E. Role Requirements / Specifications

Desired Qualifications

Graduate
·
Knowledge of Microsoft Office

Desired Experience
|

3+ years of experience in a similar capacity in the
Administrative function of manufacturing organizations. Would be an advantage
to have strong communication skills, organization skills and time management.
The candidate should preferably from the local area.
